We want to hear YOUR opinions about what we should be communicating. What do you want to know about the convention, when do you want to know it, and how do you want to be notified?
We're hosting a Communications Town Hall this month to find that out. We'll be discussing Arisia's website, apps, print publications, and social media presence. Everyone is welcome to take part, whether you're on staff or are excited to go to Arisia for the first time.
The town hall will take place between noon and 2 PM on Sunday, May 22nd, in MIT Building 66 (25 Ames St, Cambridge, MA 02142), Room 168. Can't make it physically? We'll be broadcasting the town hall and taking your questions over GoToMeeting. [More info and link shortly]

Come join the Arisia video crew! This year, Arisia is broadcasting six live events, and recording others - our most ambitious schedule ever. We need your help to pull it off. Roles include operating a camera, directing, switching, shading, or even pulling cable to keep from tripping the camera operator. If you're interested but have little experience, attend our Video Production Workshop at 6:00pm Friday in Grand B. Otherwise, email us at tech at arisia.org.

Responsibilities: Come help setup Arisia's Computers and Printers. We are talking roughly 8 Windows XP and Windows 7 machines (mostly laptops), and roughly 6 HP LaserJet Printers. The computers would be pre-configured and the printers pre-tested. They should just need to be plugged in, connected, and made sure they are working. But it might also involve helping some people in Ops / Sign Shop / Newsletter / etc. setup their computers to talk to the Arisia printers. It would probably also involve working with others in Ops IT who set up the network. Two-three people who have done this in the past but now have other positions at Arisia would be available for support if necessary
This would involve being there on Thursday during the day and hopefully also Friday during the day. It is possible you might get by with Thursday evening and Friday day. Also, this would involve being there on Monday to break things down.
Experience with Microsoft Windows XP and Windows 7 required. Experience with HP LaserJet printers and Apple (for help setting up their computers to print) a plus.

Arisia 2016 Staff is looking for volunteers for at-con positions! Currently, we are looking for an IT Assistant.

Responsibilities: Operations IT needs someone to assist in the setup and testing of wireless networks for Arisia staff functions. No specific technical skills are required, as the work will be done in conjunction with the area head. However, experience setting up wireless routers and access points is a plus, as is an interest in taking over the area for some future convention.

Time: Must be available to work mostly on Thursday during the afternoon and/or evening, as well as on Friday during the day, as these networks should be in place before the convention opens on Friday. Some assistance may also be needed during the con itself addressing problems if and as they arise.

The annual Arisia convention is a 100% volunteer-run con, brought to you by a dedicated group of folks JUST LIKE YOU who want to be a part of something amazing. And we're looking for new staff, returning staff, people who want to volunteer 1 hour. Or 20. Or only do pre-con volunteering. Or only at-con. Whatever level of volunteering you are interested in, Arisia has something for you to do. We have volunteer rewards, like earning swag, or a t-shirt if you put in 8+ hours. Volunteer 12 or more hours, and you also earn next year's Arisia membership.

We have an updated VOLUNTEERS WANTED page up on the Arisia 2016 website, which you can check in on. Or you can fill out a VOLUNTEER FORM to tell us what you want to do, and our hard-working Volunteers staff will try to find something for you.

But today, we are looking for volunteers for REGISTRATION. Because many of our long-time volunteers at Arisia started out "just working Reg," including this year's conchair.

Position: Registration Staff
Come join the friendly, welcoming people of Registration! As the first faces attendees see when they arrive at the convention, Registration volunteers are an incredibly important part of the Con. Reg Staff must be comfortable working in a fast-paced environment, and enjoy helping people.
Responsibilties: money handling, customer service, work under pressure, sitting for long periods of time, using a laptop.

Arisia Communication Discussion
Tuesday June 2nd from 7:30-9:30pm at the NESFA Clubhouse (504 Medford Street, Somerville, MA)

This event is an open discussion about Arisia's communication, with focus on official communication from the convention to its attendees, and a lesser extent our staff/volunteer base. The goal of this event is to come away with a better understanding of where we need to improve on our communication, and with a timeline for what specific information should go out when (and hopefully also via which mediums). This discussion will start at 8pm.

At 7:30 we will have an introduction to volunteering with Arisia and a Q&A session for working on the convention. Arisia leadership staff, including this year's con chair, Kris "Nchanter" Snyder, will be available before and after the meeting for small group and one-on-one conversations.

While we're *so* very close to Arisia 2015 (Yay! Two weeks away!), As Arisia 2016 Con Chair, I have been thinking about Arisia 2016 even as I support our Arisia 2015 staff in my role as assistant con chair. To that end, I have started putting together my leadership team for Arisia 2016.

I am looking for people who are interested in joining that leadership team at the division head level. If you haven't been heavily involved recently, or if we haven't had a conversation about next Arisia yet, I'd like to talk to you. Please send an e-mail to nchanter [at] arisia [dot] org to get the ball rolling. If you are interested in being someone's assistant, (a great way to learn the division head job for the future), I also would like to talk to you as soon as possible. I plan to announce a bunch of appointments on February 7th at the debrief. This would allow people who are interested in area head and other staffing positions to talk with the newly-appointed div heads on that day. (Yes, this is an accelerated timeline as compared to previous years.)

What if I’m interested in a position other than division head?

Please wait until after Arisia 2015 to talk to me. I’m also interested in new and interesting ideas for A’16. I will be happy to talk to people about those things as well, but ultimately it’s the decision of the division heads to staff the roles that report to them.

So what does being a division head mean?

Each division head role is different. All division heads must manage other staffers, but some have more hands-on work than others. If you are not good at managing other people, or yourself, a division head role may not be for you. Division heads are responsible for finding the staff for their division, participating in discussions and decisions that affect the convention as a whole, and attending convention committee and divisions head meetings. Meetings will occur approximately every 6 weeks until September, and monthly after that. I am also planning a div-head dinner and kick-off meeting at my house in March or April (likely to be more than a 2 hour commitment), and am still considering having an all-day div head meeting in the fall.

All division heads have communication responsibilities. We need you to share information with other division heads, and to train and inform your staff. Most divisions need to provide timely information for external communications, and you may also need to have specific communications with a subset of the attendees. Most of Arisia's communications happen via e-mail, so being able to stay on top of your e-mail and respond in a timely manner is a key skill that anyone wanting to be a division head for Arisia 2016 will need to have.

All division heads must be members of the corporation, but you may join Arisia Inc. after you accept a division head position. You do not have to go to all the corporate meetings in order to be a division head, but attending a few throughout the year is encouraged.

Depending on the position, and how you divide the actual work with those who report to you, the time commitment, not counting meetings, is anywhere from 5 hours per week to 30 hours per week. I’m not a big fan of co-heads, and prefer lead & assistant models, but am willing to talk with anyone who comes to me with a co-head plan that they think will work.

All division heads are expected to appropriately handle complaints or concerns from attendees at the convention or from staff at the convention or other times. This could include violations of the Arisia code of conduct. To that end, all division heads will be expected to make their best effort to attend anti-harassment training / workshops that will take place in 2015. If you are unwilling to make substantial efforts to help Arisia address these concerns, or think that we're making a bigger deal than is necessary about these issues, then I would prefer you took a smaller role for Arisia 2016.

My thoughts for the Arisia 2016 work process

In general, I will be approaching the div heads as a team that collectively makes decisions with me, and will encourage discussion and substantial input from as much of the staff and larger community as possible/practical. I plan on having a few community discussions in the spring to discuss topics that I believe are in flux within the Arisia community (for a past example, Arisia's move from a 3 day to a 4 day con.) That being said, I believe in being clear about who’s ultimately responsible for what.

As for working with me personally, I operate with a few guiding principles


  • Be honest. This includes being honest with yourself and others about what you're capable of getting done in a finite amount of time. Additionally, I do not tolerate blatant lying.
  • When possible, be kind. This is something I consistently work on, as I know I sometimes come off as mean when I'm stressed. This also covers "be inclusive" where possible in my book. Shutting people out is an unkindness.
  • If you can't be kind, at least be respectful. I will not tolerate intentional or inadvertent abuse of my staff.
  • Communicate, communicate, communicate. Let others know what's going on with you, both personally, and with your department. Tell people when plans change.
  • When possible, be proactive. If you think something might go sideways, start figuring out how to mitigate it, and, to reference the above, let others know!

Are you interested in helping to run New England's largest, most diverse Sci-Fi/Fantasy Convention? Arisia 2015, scheduled to take place at the Westin Boston Waterfront Hotel Jan. 16-19, 2015, is looking for volunteers in a number of different divisions.

Do you like feeding people? Are you super organized and comfortable taking on a leadership roles behind the scenes of a convention? Are you local? Arisia is looking for an Assistant Division Head of Food Services. The ADH of Food will assist the Div Head to recruit people to lead Food Areas, work with that year's Arisia leadership group to find appropriate hotel space for their areas, make a realistic budget for the division, provide guidance to staff in the division, and accurately represent needs for the division. The ADH is also responsible for ensuring all areas have needs met throughout the convention itself, and will serve as emergency contacts during the con, as well as being responsible for documentation needs for the division before, during and after the con.

Do you want to welcome everyone to Arisia? Are you calm under pressure as well as friendly? At Con Registration Staff need to be able to use a computer well (search, point and click), follow written procedures, maintain a happy, helpful presence in the face of thousands of attendees and handle money and credit card machines accurately. The work is not physically demanding, but requires a lot of mental and social engagement with few breaks.

They should plan to attend one of the training sessions in December, the Thursday before con, or midday Friday, and work at least 12 hours at con, as per a schedule.

Due to the impending blizzard, the debrief is moving to the evening of
SUNDAY, FEB. 17, at the Westin Waterfront, in a function room on the
Harbor level. We're still trying to pin down the exact room and time,
likely near 7pm.



Please note that we are piggybacking on to the end of Boskone. If you
feel guilty about that, or just want something else to do with your day,
a Sunday membership to Boskone is $15; Boskone registration (also on the
Harbor level) will be open until about noon on Sunday. Boskone itself
ends about 3pm or so. You do *not* need a Boskone membership to go to
this debrief.



Alas, this means no food, but if you help with Boskone tear-down
(starting about 4pm in the Galleria), they'll feed you pizza. For
parking, I suggest trying to find street parking, or the Boat Show is at
the BCEC; or use Channelside parking.



We will probably try to do some of the planned debrief agenda online, so
it's not too late a night. Details on that will be out shortly.

The December (i.e. next-to-last) concom meeting will be this coming Sunday, from 3pm, at the Westin Waterfront. Stone meeting room.

There will also be a Corporate meeting in the same location starting at 1PM. Please don't confuse the two. The Corporate meeting is open to the public but if you are there for the Concom please wait until the Corporate meeting is over before going in.

Unless there is a massive groundswell of demand we will NOT be using Skype at this meeting.
